The admin you don't see is often the most expensive part of your business
By Nicola Stanbridge, Founder, The Personal VA
Most business owners keep a close eye on sales and marketing. The back office gets attention only when something breaks: the quotes, invoices, follow-ups and the systems holding it all together.
After 20 years in corporate operations and office management, I can tell you the costs here are rarely dramatic. They're quiet, and they add up. Here are five signs your back office is leaking time and money.
1. Your invoices go out late
Every day an invoice sits in drafts is a day later you get paid. When client work is busy, invoicing is usually the first thing to slide, and cash flow feels it a month later.
Try this: Invoice the same day the work is done, or set a fixed weekly slot for it and protect it like a client meeting.
2. Your quotes take more than a couple of days
When someone asks for a price, they're often asking others too. A slow quote quietly tells them you're stretched, and plenty will go with whoever replies first.
Try this: Build a template for the jobs or services you quote most often. A two-week task can become a same-day one.
3. You're the only one who knows how things work
If you're sick, on holiday or flat out, does everything stop? When processes only live in your head, you can't hand anything over, and the business can't grow past you.
Try this: Pick one recurring task this week and write down the steps. That's your first process, and the first thing you could delegate.
4. Your information lives in five different places
A client's details in your inbox, their quote in a spreadsheet, notes on your phone, the job in an app. Every search for something you know you have costs a few minutes, and those minutes add up to hours.
Try this: Choose one home for client information. It doesn't matter which tool, as long as it's one place and everyone uses it.
5. You're doing admin after hours
If evenings and weekends go on catching up, the back office is being paid for with your most expensive resource: your time.
Try this: Track your admin for one week, then multiply those hours by your hourly rate. It's usually an eye-opener.
Start with one
None of these looks like a crisis on its own. That's exactly why they get ignored. But if two or three sound familiar, your back office is worth a closer look. Pick one and fix it this month. Small changes made consistently beat a big overhaul every time.
